B) Data Deletion Policy (Full)

1. Scope
This policy explains how Dmaia AI Solutions (“we”, “us”) handles requests to delete personal data we process via our automation and integration services (including n8n workflows and Instagram/Facebook webhooks).
2. What we can delete

  • Customer account/profile data stored by us

  • Configuration data (workflows, credentials you provided to our system)

  • Operational logs we control

  • Message content and related metadata cached or stored by us

Note: Data stored by third parties (e.g., Meta/Instagram, hosting providers, analytics) may require requests directly to those providers.
3. How to request deletion
Send an email to support@dmaia.ai titled “Data Deletion Request” with:

  • Your name and contact email

  • Your business name (if applicable)

  • Relevant account identifiers (e.g., Instagram handle/Page ID)

  • A clear description of the data to delete

4. Identity and authority verification
We may request additional information to verify your identity and ownership/administrative rights over the relevant accounts or data.
5. Processing timeline
We aim to delete eligible data from active systems within 30 days of confirming your identity, and from backups within a reasonable cycle (typically up to 90 days), unless retention is required by law or for legal claims, fraud prevention, or security.
6. What we may retain
We may retain limited records where necessary to:

  • Comply with legal obligations (tax/audit),

  • Resolve disputes, enforce agreements, or ensure service security,

  • Maintain minimal proof of deletion activity (audit trail).

7. Third-party services
Where our service integrates with third parties (e.g., Meta platforms), their own policies and retention rules apply. You may need to submit deletion requests directly to those services.
8. Security
Deletion is performed using commercially reasonable technical and organizational measures designed to prevent unauthorized access, disclosure, or recovery of deleted data.
9. Changes
We may update this policy. The “Last updated” date will reflect the latest version. Material changes will be communicated where appropriate.
